1. Our roles
Ranx acts as a service provider or processor for Customer Data submitted to or connected with customer workspaces. Customers control the employee, respondent, survey, HRIS, organization, and source-system data they choose to process through Ranx.
Ranx acts as an independent controller or business for account, billing, website, security, support, analytics, and operational data that we collect to operate and improve Ranx.
2. Information we process
Depending on how Ranx is used, we may process the following categories of information:
- Account and administrator data: names, business email addresses, roles, workspace membership, authentication events, preferences, and support communications.
- Billing and subscription data: plan selections, subscription status, billing contact details, payment metadata, invoices, and transaction records. Payment card details are handled by our payment processor.
- Survey and response data: survey answers, ranked choices, free-text comments, timestamps, consent records, language or delivery preferences, and respondent status.
- Employee and organization metadata: teams, reporting structures, departments, locations, employment attributes, audience lists, and segmentation fields selected or connected by a customer.
- Source-system connection data: customer-authorized connector metadata, OAuth tokens, API credentials, sync history, source-system identifiers, and related configuration details.
- Usage, audit, diagnostic, and security logs: IP address, device and browser data, page and feature activity, error logs, audit events, access records, and abuse-prevention signals.
- Website, cookie, and anti-abuse data: cookie identifiers, analytics events, referral data, reCAPTCHA or similar security signals, and communication preferences.
3. How we use information
We use information to provide, secure, support, maintain, and improve Ranx; authenticate users; operate surveys and response flows; generate ranked insights, drivers, actions, and lift reporting; process subscriptions and billing; respond to support requests; prevent abuse; comply with law; and communicate about the service.
Customers are responsible for providing appropriate notices, obtaining required consents or authorizations, and ensuring they have a lawful basis to submit employee, respondent, HRIS, organization, and source-system data to Ranx.
5. AI and model use
Ranx may use AI-assisted features to help summarize, classify, draft, or recommend insights when enabled in the service. Customer Data and customer content are not used to train public or general-purpose AI models unless the customer explicitly agrees in writing.
AI-generated outputs are decision-support tools. They are not legal, HR, employment, benefits, financial, or compliance advice.
6. Privacy rights
Depending on your location and relationship to Ranx, you may have rights to access, correct, delete, export, restrict, object to, or opt out of certain processing of personal information.
If your information was submitted to Ranx by your employer or another Ranx customer, please direct your request to that customer first. We will support customers in responding to valid data-subject or consumer-rights requests as required by our agreements and applicable law.

7. Retention and deletion
We retain information for as long as needed to provide Ranx, comply with legal obligations, resolve disputes, enforce agreements, maintain security, support customers, and preserve audit records. Customer Data is retained according to the applicable customer agreement, workspace settings, and lawful instructions.
Respondent confidentiality thresholds and aggregation rules are product safeguards designed to reduce re-identification risk. Sub-threshold groups are not rendered. These safeguards are not an absolute guarantee that information can never be inferred, especially in small populations or where a customer combines Ranx outputs with other information.
8. Security
Ranx uses commercially reasonable administrative, technical, and physical safeguards designed to protect information. No system is guaranteed secure, and customers remain responsible for managing authorized users, connector permissions, notices, and lawful use of outputs.
